Every company is trying to save money wherever they can. They are also trying to help the environment as much as possible as well. Combining methods that can do both at the same time, saves another valuable resource: time.

Having virtual business meetings for offices saves all three: time, money and natural resources by eliminating some of the travel, a lot of the scheduling details and such and the need to have large meeting rooms as well. The virtual business meeting for offices is fairly simple and straightforward, but some of the ways in which it can reduce costs and energy usage can be staggering.

The more work that can be handled virtually, the better it is for the company and the environment. Setting up a virtual business meeting is simple: it only takes basic time management skills, email communication skills and a good network setup. Videoconferencing from each office means that no one will have to travel, reducing energy costs and time spent away from the office.

Who Benefits From Virtual Business Meetings?

All companies can benefit from the ecologically wise concept, but small companies who often must coordinate staggered training sessions for multiple employees would benefit most. A company that is sending three or four employees at a time, to a main office for these training sessions would benefit from having the training done by means of videoconferencing or web chat instead of paying to have people on the road and away from the job.

What are the Initial Needs?

Videoconferencing or web chat needs will vary depending on how many people and remote locations are involved. Linking each branch will also depend on the local type of Internet connection and the need to upgrade existing systems or buy new systems to handle the technology. Because some newer computers have much of the needed hardware integrated from the start, as well as having some greener technologies (self-charging super batteries for instance) they might be the easier and wiser investment in the long run. Smaller companies who rush to do virtual meetings may be overextending themselves for the sake of being "green" or to take part in the latest technologies when all they need to do is to make some simpler changes to their office practices. Buying computers to connect offices that are within walking distance is not a smart plan.

Videoconferencing and the virtual business meeting concept is best for midsized to large companies that have remote offices, spread out from the main branch or a need to stagger meetings for logistical reasons. Instead of trying to figure out how to get twenty or thirty people to an office forty miles away, the meeting can be held in the home office with connections to the main office.
